Polaris Recruitment ("Polaris," "we," "us") is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). This policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have over it.
This policy applies to candidates who share their details with us, clients who submit job briefs, and anyone else whose personal information we process in the course of our recruitment services.
Who is responsible for your information

What we collect
From candidates, we may collect: your name, contact details, CV or resume, current role and employer, seniority level, sector, notice period, LinkedIn profile, salary expectations, and any other information you choose to share with us about your career and circumstances.
From clients, we may collect: your name, company, contact details, role requirements, seniority level, sector, and details of the position you're looking to fill.
Why we collect it
- To match candidates to relevant, suitable roles
- To present candidate profiles to clients with active vacancies
- To communicate with you about opportunities, briefs, or the status of a search
- To provide the consultative, ongoing support described on this site
- To meet our own legal, accounting, and record-keeping obligations
Our legal basis for processing
We process your personal information on the basis of your consent, given when you submit a form on this site, and, where applicable, on the basis of our legitimate interest in operating a recruitment business, provided that interest does not override your own rights and interests.
Who we share it with
Candidate profiles are shared with clients only when relevant to a specific opportunity, and never without appropriate care for your circumstances. We do not sell personal information to third parties.
We use a small number of trusted service providers to run our systems (database, automation, and file storage tools). These providers act as operators on our behalf and are only permitted to process your information for the purposes we specify.
How we protect it
We apply reasonable technical and organisational safeguards to protect your personal information against loss, unauthorised access, and misuse, including restricting access to authorised systems, and removing temporary copies of documents (such as CVs) once they have been securely stored in our primary system.
How long we keep it
We retain candidate and client information for as long as it remains relevant to our ongoing recruitment services, or as required by law. You may ask us to delete your information at any time, as set out below.
Your rights
Under POPIA, you have the right to:
- Ask us to confirm what personal information we hold about you
- Request a copy of that information
- Ask us to correct or update inaccurate information
- Ask us to delete your information, or restrict how we use it
- Object to the processing of your information on reasonable grounds
- Withdraw your consent at any time, without affecting processing that already took place
